Task Automation is an internal logic engine that executes if/then actions based on your unique Acquia DAM configuration. To link custom metadata directly to asset visibility, administrator accounts eliminate the risks and inefficiencies associated with manual oversight.

### Use Case 1: Metadata-verified visibility

This solution ensures that the assets remain hidden from the wider organization until they meet your specific compliance and approval standards.

* The problem: Manual processes often cause assets to open in public spaces before they are ready. Assets also remain stuck in private groups because an administrator account does not manually move them.
* The automated trigger: The integration monitors specific custom metadata fields. Examples are Legal Approval,Usage Rights Cleared, or Internal Review Status.
* The action: After the required metadata criteria are met, Task Automation moves the asset from a restricted asset group to a public asset group.
* The benefit: Data earns visibility. Data does not grant visibility by default. This enforces strict compliance without the need for manual intervention.

### Use Case 2: Lifecycle automation

Manage the entire lifespan of an asset, from release to archive, without the need to manually adjust permissions.

* The problem: Asset group updates are typically manual. This means expired or unreleased content often remains visible to users longer than necessary.
* The automated trigger: The integration monitors date-based fields or status lists. An Expiration Date reach or an Asset Status change to Archived activates the move.
* The action: The system triggers an asset group move. This shifts the asset into a hidden or archive group that general users cannot access.
* The benefit: Acquia DAM handles the complex administrative moves. You maintain a clean library where users only access relevant, approved content.

### Explore the possibilities

The use cases outlined previously represent only an initial point. Because this integration follows your custom logical flows, the potential for automation is extensive.

Consider the repetitive manual tasks that slow down your team. Task Automation is flexible enough to meet your specific business requirements, whether you need complex metadata paths or unique security transitions.
