Acquia DAM provides a set of features that customers can use to implement and manage their own data retention practices. The following table describes each feature and how it supports the data retention lifecycle:
Feature | How it supports data retention |
|---|---|
Asset expiration dates | Configure release and expiry dates on upload profiles to flag assets after a set date. Expired assets are surfaced in the Admin Dashboard expired assets queue. |
Asset archiving | Use bulk archive features in the new search to move assets out of active circulation. Alternatively, create and use an archive asset group workaround to manage archived assets as a group. |
Pending Delete queue and bulk delete | Assets marked for deletion are staged in the Pending Delete queue. Admins can review and perform bulk deletion from the Admin Dashboard. |
Insights reports | Use the Insights reports tool to analyze asset usage — including downloads and access counts — to identify low-value or unused assets that may be candidates for removal. Analytics data in Insights is retained for up to 3 years. |
Admin Dashboard queues | The Admin Dashboard provides dedicated queues for expired assets, pending delete assets, and conflicted assets, enabling systematic lifecycle review. |
Paths notifications | Configure Paths notifications to alert stakeholders when assets are approaching their expiry date, enabling timely review before expiration. |
Acquia provides the tools described on this page, but the responsibility for data retention governance rests with the customer. Customers are responsible for the following:
