Configuring your Acquia DAM Classic system preferences

To configure the preferences for your Acquia DAM Classic implementation, complete the following steps:

  1. Sign in to Acquia DAM Classic.

  2. In the top right of the page, click the settings icon.

  3. Click System Preferences.

    Acquia DAM Classic displays the system preferences page where you can use configure your system settings.

Available settings

The Acquia DAM Classic system preferences page provides access to the following functions by section:

General Settings

  • Admin email notification address: Acquia DAM Classic will send email notifications listed in the system preferences, including a notification when new users register, and a notification of upload and download, to this email address. If you have multiple administrator accounts that need to receive these notifications, we recommend creating an email distribution list (such as [email protected]) that includes all administrator accounts.

  • Enable Early Access for product features on this account: Select this checkbox to enable Early Access features for this account, allowing you to stay on the cutting edge of new Acquia DAM Classic features and capabilities.

  • I would like to learn about participating in Beta programs for product features: Select this checkbox to allow the Acquia DAM Classic product team to contact you for participating in upcoming beta tests, giving you early access to new features while agreeing to provide feedback about performance.

Users and Groups

  • Allow users to self-register: Select this checkbox to display a registration link on the sign-in page, allowing new users to register for an account.

  • Notify when new user registers: Select this checkbox to email new users’ registration information to the admin email notification address.

  • New users must be approved after registering: Select this checkbox to register new accounts as inactive, preventing the new user from signing in to Acquia DAM Classic until a user with an administrator account activates them. For more information, see Managing users and groups.

    If Acquia DAM Classic is configured to use single sign-on, users accessing Acquia DAM Classic for the first time through single sign-on will be added as inactive.

  • Automatically expire passwords after 90 days: Select this checkbox to require users to reset their passwords every 90 days.

  • Display the following click-on agreement on registration: Click the edit link to enter terms and conditions users must agree to while registering for an account.

  • Session expiration time list: Click the value to select the duration of inactivity that can occur before a user must sign in again.

Assets

  • Activate assets upon creation: Set the status of newly uploaded assets to active or inactive. In most instances, the status will be active. Contact your Customer Success Manager for best practices.

  • Default asset name on upload: Set the displayed asset name to match the file name, or pull from the headline metadata field.

  • Auto rotate assets on upload: Select this checkbox to rotate assets to the correct orientation during the upload process.

  • Receive email notification of uploads: Select this checkbox to notify the admin email address of new uploaded assets.

  • Version uploaded assets with same name: For information about this option, see Asset version control.

  • Apply metadata from: Select from the New version or Current version options. For information about this option, see Asset version control.

  • Allow suggested keywords: For information about this option, see Configuring the metadata schema.

  • Enable keyword taxonomy: For more information about this option, see Configuring the metadata schema.

  • Enforce keyword taxonomy: For more information about this option, see Configuring the metadata schema.

  • Deactivate asset upon expiration: Select this checkbox to deactivate assets on their expiration date. If not selected, assets will remain active after their expiration date, but non-administrative users cannot download them.

  • Receive email upon asset expiration: Select this checkbox to email the admin email notification address after an asset expires.

  • Receive email reminders before asset expires: Enable this option for Acquia DAM to notify of an asset’s upcoming expiration, and enter the number of days prior to the expiration for Acquia DAM Classic to notify you.

  • Source of video thumbnail: In the list, select the value of which second of the video you want Acquia DAM Classic to display as the video’s thumbnail.

Supported File Extensions

Folders

  • Default status of folders on create: Select whether you want the status of newly created folders to be active or inactive. For more information about the folder statuses, see Changing an asset’s status.

  • Keep folders upon FTP import: Select this option to keep folders in the FTP client after import. For more information about uploading assets using FTP, see Uploading assets using FTP.

Downloads

  • Comp (watermarked) downloads:

    • Set to Allow download for all users so that users can download watermarked versions of assets.

    • Set to Allow download for logged in users only to allow only signed-in users (not guest users) to download a watermarked version of the asset.

    • Set to DO NOT allow download if you don’t want any users to download a watermarked version of the asset.

Note

Add a watermark to an asset by enabling Watermark assets in this folder for the asset’s folder. After doing so, click the Edit icon on the asset thumbnail, and choose Recreate Thumbnail.

  • Click-on agreement for downloads:

    • Enable click-on agreement: Select this option to force users to agree to terms and conditions before downloading assets.

    • Require user to agree:

      • When set to Upon first download only, users must agree to the download terms and conditions the first time they download an asset.

      • When set to For every download, users must agree to the download terms and conditions every time they download an asset.

      • Click-on agreement text: Click the edit link to add the terms and conditions language. For more information about the terms and conditions language, see Terms and conditions: Sample language.

  • Receive email notification of downloads: Select this option for Acquia DAM Classic to send an email to the admin email notification address after Acquia DAM Classic downloads assets.

    • This setting is global and will apply only to new folders created in Acquia DAM Classic. Existing folders must be changed individually.

  • Enable download requests: Enable this feature and set a group’s download permissions to Do not allow, to force users to request access to download assets. For more information about editing group permissions, see Managing users and groups.

    • This setting is global and will apply only to new folders created in Acquia DAM Classic. Existing folders must be changed individually.

Image Download Presets

Users can convert images to a different file format, resolution, size, and color space upon download. Download presets allow you to create predefined options for users to select from when downloading the assets.

To create a download preset, perform the following steps:

  1. Click Create New Image Preset.

  2. Enter a preset name.

  3. Set the file format, resolution, dimensions, and color space.

  4. Click Save.

Additional Information

  • Edit a preset: Click the edit icon.

  • Delete: Click the trashcan icon.

  • If you leave an option blank, the file will retain its original setting after you have downloaded it.

  • Best practices:

    • Resolution: The recommended values are 72 dpi for web and 300 dpi for print.

    • Color Space: RGB is recommended for web use and CMYK is recommended for print.

PDF Download preset

  1. Specify PDF as the output type.

  2. You can also select the DPI for the output.

For example, establish presets like Print Quality PDF by setting the DPI to 300 or 600, and then Digital Ready PDF with 72 DPI.

Video Download Presets

Users can transcode videos upon download. Download presets allow you to create predefined options for your users to select from when downloading the assets.

  1. Click Create new video preset.

  2. Enter a preset name.

  3. Click the list next to Load preset to work off a pre-formatted preset. Once selected, the configurations will update.

  4. Select the Format from the list.

  5. Configure the video and audio settings as needed.

  6. Click Save.

Additional Information

  • Edit a preset: Click the edit icon.

  • Delete: Click the trashcan icon.

  • If you leave an option blank, the file will retain its original setting after you have downloaded it.
