How do I release and unrelease assets?

Released assets are approved for use by those who uploaded them or by Acquia DAM admins. Unreleased assets are either not available to use or are pending admin approval.

If you have View and Order permissions for an asset group, you can view and order released assets. If you have View+ and Order+ asset group permissions, you can view and order released, expired, and unreleased assets.

 

Release assets

With the Release Assets permission, you can release assets from the Asset Details page or during upload. If you're a DAM admin, you can also release assets from the Admin app.

Assets cannot be released by asset group.

On the Asset Details page, release assets in the Asset Group/Security area. Click to edit an existing release date or click Release Now, then save. An expiration date can be chosen at the same time the release date is set.


 

 

Unreleased assets

You can unrelease assets by removing the release date or adding an expiration date on the Asset Details page or when you're uploading them. Assets are indicated as unreleased in asset thumbnails in search results.

If you're an admin, you can work with the DAM Customer Support team to configure a search for unreleased assets in the refine search.

 

Unreleased assets or assets pending approval

Admins can see all assets that are unreleased or pending your approval in the Asset-related Tasks queue on the Admin dashboard. Click to view the assets in an asset group that are unreleased, then release them individually or in a batch.



To release assets that are unreleased or pending your approval from the queue:
  1. Click View to see a list of assets in an asset group that are unreleased or pending approval.
  2. Click the filename for an individual asset or select multiple assets.
  3. For individual assets, on the Asset Details page, click the Asset Group/Security area, then set the release date or click Release Now.
  4. For a group of assets, edit the security, then set the release date or click Release Now.
  5. Click Save.
