How to use Bulk Edit in Acquia DAM

Use Bulk Edit in Acquia DAM to modify up to 500 assets simultaneously. Edit metadata, categories, tags, and security settings with a two-panel interface.

Prerequisites

  • Contributor access to Acquia DAM
  • Permissions to edit metadata, categories, or security settings
  • Assets selected in the updated search experience

Accessing Bulk Edit

  1. In the updated search experience, select up to 500 assets.

  2. Select the Edit icon in the bulk selection tool.

  3. The bulk editor opens in a new page with two panels:
    • Left panel: Displays asset thumbnails & filenames, as well as selectable asset information.

    • Right panel: Contains all editable components.

Global edit modes

  • Configure the default edit mode with the gear icon in the top right corner:
    • Add Mode (Default): Add new information and keep existing values.
    • Replace Mode: Replace existing values with new information.
  • This setting is user-specific and does not affect other users.

Editing different asset components

Categories:

  • Add: Apply additional categories and keep existing ones.
  • Replace with: Remove current categories and add new selections.
  • Remove: Delete specific categories from selected assets.
  • Clear all values: Remove all category assignments.
  • Requires “Assign Assets into Categories” permission.

Metadata

Metadata type

  • Expand the metadata type section.
  • Select a new type from the dropdown.
  • Only Replace with mode is available.
  • Changes to the metadata type result in updates to the available metadata fields.

Metadata fields

  • Edit modes depend on field type:

    • Text fields (short/long):
      • Add
      • Replace with
      • Clear all values
    • Single-select fields:
      • Replace with
      • Clear all values
    • Multi-select and checkbox fields:
      • Add
      • Replace with
      • Remove specific values
      • Clear all values

Tags

  • Add: Add new tags to assets.
  • Replace with: Replace existing tags.
  • Remove: Delete specific tags.
  • Clear all values: Remove all tags.

Security settings

Asset groups:

  • Add
  • Replace with
  • Remove specific groups

Release/Expiration dates

  • Replace with
  • Clear all values

Viewing current values

  • In the left panel, open the column selector.
  • Select fields to display current values.
  • Review the existing information before you make changes.
  • “No value” indicates empty fields.
  • “Field not available” appears when a field is not part of an asset's metadata type.

Completing bulk edits

  1. Make adjustments in the right panel.
  2. Select Apply to process the edits.
  3. Review the summary page, which lists all changes.
  4. Each modification is recorded in the asset's history.

Best practices

  • Review current values before you make edits.
  • Use the search function to quickly locate fields.
  • Verify selected assets in the left panel before you make edits.
  • Review the summary page to confirm all edits.

Limitations

  • Maximum of 500 assets per bulk edit session
  • Available edit modes depend on field type
  • Some fields may be restricted based on permissions
  • AI tags and transcripts are not supported for bulk edits in the current version
