The Workflow app is a Acquia DAM add-on and proofing tool that gives your teams visibility into project files as they go through the approval process and become distributable DAM assets. It's designed to help you streamline the creative production and file review processes by giving you the tools to initiate and monitor projects, see projects that are in progress, view and give feedback as proofs are routed, route versions multiple times and to different reviewers, determine and report project statuses quickly, accept project work requests, maintain project momentum, and more.
With Workflow, you can:
Facilitate and host team communication in one location
See the entire lifecycle of a project in one place
Document your work process with efficiency
Manage your workload balance
Workflow offers:
Workgroup management to increase visibility of projects and deliverables within your brand, divisions, or departments with less manual work. Simply add users to a workgroup, name it, and assign that group to projects (and request forms), and those users can be made aware of project status and feedback without needing to be manually added to each project. In addition, workgroups allow users to be automatically pulled into feedback sessions when reviewers @ mention them in the project comments.
Customizable work request forms for workflow management that help gather pertinent project and deliverable information, including who can approve requests submitted via the form and permissions for teams or individuals, which can be used when proof is created to keep the project focused and on task.
Reusable workflow templates to allow for automated project assignment and workflow initiation from a user's request through an approved asset's release. Workflow templates give project managers the ability to know who should be included on which projects and what the timelines need to look like.
Marketers, traffic managers, marketing managers, designers, art directors, and many others all use Workflow.
Users can route the following file types with Workflow:
AI
DOC
DOCX
GIF
JPG
PDF
PNG
PPT
PPTX
PSD
TIFF
Video files (routable only through the enhanced proofer)
Note
When users upload animated GIF files to the enhanced proofer in Chrome or Firefox, the system can prompt them to install the free Ziflow browser extension. Without the extension, users can still comment, reply to comments, and make decisions. However, markup tools remain unavailable. With the extension installed, users can add markup at specific points in the animation. The Ziflow extension lacks support in Safari. Safari users retain the same features as Chrome or Firefox users who operate without the extension.
Workflow dashboard
If you have permission to access the Workflow dashboard, you’ll see the dashboard when you log in and select the Workflow app. This dashboard gives you insight, at a glance, into how Workflow is being used at your organization. See the number of requests others have submitted, projects that were created, and the deliverables that were closed, by year. Get details about your current work, including the number of open requests that need your approval and the number of deliverables that need your review, along with their priority. And download those details, along with more information, into a CSV file or click your work to get a better idea of its progress.
