Using the media library

For digital asset management, Source CMS provides a media library where you can:

• Navigate to media
• Use filters to find specific media
• Edit, delete, or manage existing media
• Add new media items

Adding a media

Use the following steps to add a media to your site:

1. Access your site.

2. In the left sidebar, click Media.
3. Click Add media.
4. Select the appropriate media type.
5. In the Name field, enter a name for the media.
6. Do one of the following based on your media type:
   • For local media, upload the media file.
   • For remote media, provide the URL.
7. In the Revision log message field, enter a message for the revision log.
8. Click Save.

Editing a media

Use the following steps to edit an existing media in your site:

1. Access your site.

2. In the left sidebar, click Media.

3. In the list of media, locate the media item that you want to edit.

   To find a media, you can also use filters.

4. Click the Edit icon for the media.
5. Make the required changes.
6. In the Revision log message field, enter a message for the revision log.
7. Click Save.

Replacing a media file

Source CMS provides the following two methods to replace a existing document, image, or video:

• Overwrite the original file (default): This option overwrites the original file and prevents the creation of a separate, renamed copy. 
  • The filename and URL remain the same, and current embeds and links continue to function.

  • Source CMS serves the new file in place of the original file and purges the platform Content Delivery Network (CDN) cache or Varnish cache. The edge servers deliver the updated version immediately.

  • However, because the URL remains unchanged, individual end-user web browsers do not receive a signal to fetch the updated content automatically and p revious site visitors might access the cached version until their browser cache expires.

• Create a separate file: This option creates a renamed copy, for example, example_0.pdf. 
  • Acquia recommends this method for files that change frequently and are accessed widely, for example, a menu or price list.
  • This method guarantees that web browsers fetch the newest version immediately and bypasses the browser cache.

To replace a file:

1. Access your site.
2. In the left sidebar, click Media.
3. Navigate to the media item that you want to update. 
4. Click the Edit icon on the item. 
5. In the Replace file section, select Choose file and upload the new file. 
6. Complete one of the following steps based on your requirement: 
   • To preserve the original filename and URL, ensure that the Overwrite original file toggle is enabled. This is the default configuration.  
   • To save the new file as a separate file, disable the Overwrite original file toggle. This option updates the media item to point to the new file and does not preserve the original filename or URL. 
7. Click Save.

Adding media to content

When creating or editing content, you can:

• Use media reference fields to attach media items.
• Browse or search the media library.
• Upload new media directly from the content form.
• Select existing media for reuse.
