To create a global collection, your user role must have the Administrate Global Collections permission enabled. Once that permission is in place:
Select assets in Search.
Select the + icon in the bulk share bar to create a new collection.
Select the New Collection option in the subsequent modal that appears.
Name your collection and select the Make Collection Global toggle.
Click Add.
If you do not see the Make Collection Global option, contact your DAM administrator to verify that the Administrate Global Collections permission is enabled for your role.
For more information, visit What are collections? | How do I create collections?
The location of the Make global option differs depending on whether you are creating a new collection or editing an existing one:
New collection: When creating a collection from the search results page, the Make Collection Global toggle appears in the New Collection modal after you name the collection.
Existing collection: Open the Collections page, find the collection, and select the edit options (three-dot menu or edit button) to find the Make global option.
The Make global option appears only if your role has the Administrate Global Collections permission.
Yes. Asset group permissions are always enforced for assets inside a collection, regardless of how the collection is shared:
When a user accesses a collection, they can only see assets they have permission to access through their assigned asset groups.
If you share a collection via a public (unauthenticated) link, recipients can only access assets that are available to unauthenticated users based on the asset group configuration.
Placing an asset into a collection does not override or bypass the asset's underlying permissions.

To access admin settings for an asset group, a user's role must have the Administrate Asset Group custom permission enabled in the role's asset group permissions. This is a separate permission from the standard view, order, edit, and delete permissions.
To enable this permission:
Go to Admin > Roles.
Select the role you want to update.
Under Asset Group Permissions, locate the relevant asset group.
Enable the Administrate Asset Group permission.

Asset categories are visible only to users who have permission to access at least one asset within that category through their assigned asset group permissions. Asset category visibility is tied to asset group access there is no standalone "view category" permission.
If a user cannot see an expected asset category:
Go to Admin > Roles and review the user's assigned role.
Verify that the role has view access to the asset group or groups associated with that category.
If not, update the role's asset group permissions to include view access.

There are two separate edit options for spotlight searches. It is important to use the correct one:
Edit (change filters): To modify the search query, keyword filters, or metadata filters of a spotlight search, use the Edit option on the Saved Searches page. This opens the full filter editor.
Change Preview (change image only): To update only the preview thumbnail image displayed for the spotlight search without changing any filters use the Change Preview option.
If you only see your preview image change but your search results remain the same, ensure you are using Edit (not Change Preview) to update the filters.
Filter availability in Insights depends on the report type you select. Not all filters are available for every report type:
The Collection filter and the Metadata Type filter are available for Downloads, Uploads, Asset Views, and Embed Views reports.
The Collection filter and the Metadata Type filter are not available for Logins, Searches, Shares, and Portal Page Views reports.
If you do not see the Collection or Metadata Type filter option, verify whether the report type you are viewing supports those filters.
