What filters can I apply in Insights reports?

When you create Insights reports, you can add filters to narrow results in the report. For portal page views reports, the default date range is the last 30 days, but you can filter up to 3 years of data.

 

The filters available for reports on downloads are asset group, category, city, collections, country, file format, file type, intended use, metadata type, portal, source, state or region, user, and user role.

The filters available for reports on logins are city, country, login type, state or region, user, and user role.


The filters available for reports on searches are city, country, search category, source, search name, search result count, search type, state or region, user, and user role.

 

The filters available for reports on shares are city, country, shared by, share recipient, and state or region.

 

The filters available for reports on uploads are asset group, category, city, collection, country, file format, file type, metadata type, state or region, upload profile, upload source, user, and user role.

 

The filters available for asset views are asset group, category, city, collection, country, file format, file type, metadata type, source, state or region, user, and user role.

 

The filters available for embed views are asset group, category, city, collection, country, embed link creator, embed link creator role, file format, file type, metadata type, source, and state/region.

The filters available for reports on portal page views are:

  • Portal name
  • Portal URL
  • Date range (default is last 30 days, upto 3 years)

    These filters allow you to analyze portal traffic across all or specific portals and timeframes.

 

FilterDescription
Asset groupAsset group you have permission to view. For example, Marketing or Sales.

Note that your report and the asset group filters you apply will be viewable by any Insights user, regardless of their asset group permissions. 
CategoryNon-deleted categories in DAM, which are listed alphabetically with a flattened hierarchy for selection. Multiple categories can be selected using the OR logic to refine report results.
CityCity where event data occurred in the last three years. For example, Memphis or Hong Kong.
CollectionGlobal collection in DAM. 

Note that it can take up to one day for data to update after you add or remove assets from collections.
CountryCountry where event data occurred in the last three years. For example, India or Canada.
File formatAny supported file format in the DAM. For example, PDF or WebP.
File typeAny supported file type in the DAM. For example, document or images. 
Intended useOptions depend on your DAM and could include email, website, and social media. 
Metadata typeMetadata types related to events from the last 3 years that provide a focused list of applicable data insights.
Login typeOptions depend on your DAM and could include site, SAML, OpenID, and LDAP. 
PortalPortals with at least one recorded download. Portals are displayed in the filter dropdown only for the downloads report type. If a portal is not displayed in the dropdown, it signifies that no downloads have occurred for that portal during the stored data timeframe. For portal page views reports, you can filter by portal name or portal URL to view analytics for specific portals.
Search categoryCategory selected in the main DAM navigation. For example, Lifestyle or Product photos.  
Search nameName of saved advanced search
Search result countNumber of search results for specific search term. 
Search typeType of search performed including quick, category, advanced, and spotlight. 
Shared byFirst and last name of logged in DAM user who shared assets in the last three years. 
Share recipientEmail address of person who received shared assets in the last three years. This person may or may not be a DAM user.
SourceOptions depend on your DAM and could include API, collections, DAM, embeds, orders, portals, and share links.
State or regionState or region where event data occurred in the last three years. For example, Missouri or Ontario. 
Upload profileUpload profile selected for an asset or assets. 
Upload sourceOptions depend on your DAM and could include DAM (which includes uploaded via uploader, as a versions, or pushed from Workflow), FTP, REST API, or asset migration. 
UserFirst and last name of logged in DAM user.
User roleAny user role that your own role can administrate.  

Portal name

Name of the portal. Use this filter to restrict results to specific portals.

Portal URL

URL of the portal page. Use this filter to analyze traffic to a specific portal URL.

 

Applying filter types and values

For most filters, you can select one or multiple values from a list of options.

When you select multiple values for a single filter, OR logic is applied. For example, if you choose image and video for the file type filter, your report will include data for assets that are images or videos. 

 



When you combine multiple filter types, AND logic is applied and both criteria must be met. For example, if you choose image for the file type filter and portals for the source filter, your report will include data for assets that are images in portals. 

 



For the search result count filter, you select from three operators – equals, greater than, and less than – and enter a numeric value. This filter can be used to find out which search terms return no results (select Equals and enter 0) or search terms that return too many results (select Greater than and enter a large value like 1,000). 

 



Note that it’s possible to select filter values, like PDFs, even if there are none in your DAM yet. In this scenario, your report would return zero results and no data. 

Once an Insights report is created, you can view data in charts and export the data.
