How do I create an Insights report?

 

By creating reports in the Insights app, you can access data about your assets, including how they’re being used, how often, and by whom. These insights can be visualized in charts and exported for further analysis.
 

Note
Currently, reports contain data on asset downloads, logins, searches, shares, uploads, some types of views, and portal page views. More report types will be released over the coming months.

To create a report:

  1. Click Reports on the Insights Dashboards page.
  2. Select Create report.
  3. Enter a name for your report.
  4. Select a report type.
  5. Select a date range.
  6. Add filters to refine the data included in the report. This step is optional.
  7. Click Create report.

Once a report is created, anyone with the Access Insights permission can view it from the Reports page.
 

Report types

The following 10 report types are available in Insights: 

  • Asset count
  • Asset views
  • Downloads
  • Embed views
  • Logins
  • Searches
  • Shares
  • Storage
  • Uploads
  • User count
  • Portal page views

Asset views are views that happen on the Asset Details page, Asset Digest, Quick View, share links (updated experience only), and portals.

Embed views are views that happen from embed links, embed codes, and legacy share links.

Portal page views reports show the number of times each portal page was viewed. You can group results by Portal name to identify your top performing portals. Portal page views reporting provides access to up to 3 years of data across all your portals.

The share report type provides data on the number of times “an order” of assets is shared via email. For example, if you share one asset with your coworker and then later select five assets at once and share them with another coworker, this would be two share events in Insights. To see the number of individual assets shared during each event, export the report. It will include a column showing this data. 

Note that Share as collection and share link views are not captured in the share report type.  

Date ranges

By default, the last 30 days are selected when you create a report; you can select from a number of different dynamic date range options or select a custom, static date range. Dynamic date ranges will always show the last number of days from the day you access a report. For example, last 30 days will show January 1-30 if you access it on January 31. It will show January 16-February 15 if you access it on February 16.

CustomCustom data for a custom date range you have selected. For portal page views, up to three years of data, starting from January 1, 2021 and onward, is available in reports.


Reports data updates

Report data is ingested each day at 00:00 Coordinated Universal Time (UTC). After that, the data gets categorized and processed and shows up in reports in late afternoon the next day. For example, if you’re in the Central time zone and today is February 16, you won’t see data from February 15 in reports until midday on February 16. 

Filters

By applying filters to your report, you narrow down what data is included. For example, if you choose image for the file type filter, your report will only include data for assets that are images.

Analyze data

Once an Insights report is created, you can export the data to a CSV or create charts to visualize the data the data. For portal page views, you can group and chart data by portal name to see which portals are most active over a selected period. Charts allow you to group the data so that you can analyze, for example, logins per country, downloads per week, or shares by recipient.

Edit report names

If needed, users with permission can edit report names, date ranges, and filters. Report type cannot be changed. 

Select the report from the Reports page to make updates.

Delete reports

When you delete a report, the Export history table will also be deleted along with all past exports of the report.
