Once you create an Insights report, you can export the report to see all of the detailed data in a CSV file.
Note that Snapshot reports do not provide detailed data exports. Snapshot reports include Storage, Asset Count, and User count.
You can export Portal page views reports using the same steps as other report types. The exported CSV will include portal-specific data fields.
1. Create a new report, or select an existing report.
2. To see a preview of that data, scroll to the section called Report data and click Details. Note that you might not see all columns and data in the preview.
3. At the top of the page, click Export.
You will be taken to the export history table, which displays information including who exported the report and export status. The export file may take a moment to process.
4. Click the download icon.
Once the CSV file has downloaded to your computer, open it in Microsoft Excel or another spreadsheet program.
The file will include detailed information, such as:
- Asset groups
- Asset name
- Browser
- City
- Collection name
- Conversion name
- Country
- Date
- Download method
- Embed creator email
- Embed creator name
- File format
- File type
- Intended use
- Login type
- Number of search results
- Operating system
- Order number
- Output file format
- Referrer
- Search category
- Search name
- Search term
- Search type
- Source
- State/region
- Upload profile
- User email and name
- User role
Note that downloads with embed or legacy share link sources will only show the creator name and email address of the embed or share link, not the user who downloaded.
For Portal page views reports, the CSV includes:
- Portal name
- Portal URL
- Portal access code email (or the email used to access a portal with an access code)
- Date of view
- Number of views
You can group or filter this data in your spreadsheet program to identify top performing portals over a selected period.
Portals details in Insights exports
If you have the Portals app enabled on your site, your CSV file could include:
- Portal name
- Portal URL
Portal access code email (or the email used to access a portal with an access code)
For Portal page views reports, these fields will be included for each portal view event. This allows you to analyze portal traffic across all your portals for up to 3 years of data.
Export delays¶
For embedded views exports, if an export will take longer than 10 hours to process, you’ll see a note in the export history, along with a failed status. To receive an export faster, we recommend that you limit the data set. To do this, you can apply filters or use a shorter date rage.
Export size limits:
Based on recent testing, exports may fail if the amount of data exceeds 15 million rows. If your export fails, it could be because the data collected is too large.
To resolve this:
- Split up the report into smaller segments.
- Apply additional filters (such as specific assets, users, or categories).
- Decrease the time frame of the report.
This can help ensure your export completes successfully.
Expired exports¶
The report export will remain active in the Export history table for 14 days. After that, the status will change to Expired and it can longer be downloaded.
