How do I attach documents to assets?

When the Attached Documents feature is enabled, if you have permission you can view, upload, download, edit, and delete attached documents, like release forms and licenses. New documents and existing documents that have already been uploaded can be attached. The same document can be attached to multiple assets, and multiple documents can be attached to one asset. Any file type can be added as an attached document.

Attach documents in three ways:

  • Through the Asset Digest interface
  • On the Asset Details page
  • From the Selection panel in search results

A preview of an attached document will display after it is uploaded. If attached documents do not preview or do not preview properly because your firewall has blocked the site for viewing, contact the DAM Customer Support team.

Manage attachments in Asset Digest

The Asset Digest interface now provides full functionality to manage attached documents. This essential update enables you to upload new attachments, select from previously uploaded attachments, and remove attachments from individual assets.

To manage attached documents in Asset Digest:

  1. Navigate to the Attachments tab in the asset information panel.
  2. Select one of the following options: 

    a. Select Drag file here or browse to upload a new document. 

    b. Select files from previously uploaded attachments. 

    c. Select the cross button to remove an attachment.

  3. Select a document preview to open it in preview mode.

Manage attachments on the Asset Details page

To attach documents from the Asset Details page:

  1. Select Attach Document in the Attached Documents section below the asset’s preview.
  2. Select Upload Document to attach a new document or select from existing documents that you previously uploaded.

3. Select Update.

Links to attached documents appear in the Attached Documents section. Click the link to view and download the document or click the trash can icon to delete it.

Manage attachments from the Selection panel

To attach documents to assets from the Selection panel:

  1. Add assets to the Selection panel.
  2. Select the More dropdown.
  3. Select Attach documents.
  4. Select Upload Document to attach a new document or select from existing documents that you previously uploaded.
     

5. Select Save.
 

Administrate attached documents

If you are an Acquia DAM admin, you can preview, rename, upload, download, edit, and delete attached documents from the Admin app:

  1. Select Attached Documents under Upload Settings in the left navigation.
  2. Select Upload Document to upload new documents; Edit to preview, rename, replace, or download documents; or Delete to remove documents.
  3. To see which assets a document is attached to, select the number in the Assets column.

Attached documents are not assigned to any asset groups, so they cannot be assigned to roles.

Refine searches for attached documents

You can refine search results to search for assets with attached documents by selecting the Has Attached Document option in the Refine Search area.

Permissions

DAM admins must enable these permissions for you to view, upload, and/or administrate attached documents:

  • Access Attached Documents: Enables you to view and download documents attached to assets.
  • Upload Attached Documents: Enables you to upload new attachments, add existing attachments to new assets, and remove attachments from assets.
  • Administrate Attached Documents: Enables you to upload new documents to the database for future use or delete existing documents completely, but only when paired with "Access Admin Tools."

If the Access Attached Documents permission is enabled for your role, you can view and download all attached documents. If the permission is not enabled, you will not see or be able to download attached documents.

DAM admins can enable or disable the Attached Documents feature at any time on the Features page.
