In Acquia DAM, you can share multiple assets at one time with external recipients from the new search experience and Asset Digest. With bulk sharing, you can select multiple assets, specify file conversion formats, and send a pickup notification email that contains a secure order pickup link.

Prerequisites and permissions

To share assets in bulk, verify that you have:

• Permission to access and download the selected assets in Acquia DAM.
• Access to the new search experience or Asset Digest in Acquia DAM.

Sharing multiple assets

To share multiple assets in bulk:

1. Go to the new search experience or Asset Digest in Acquia DAM.
2. Select the checkbox for each asset that you want to share.
   Acquia DAM displays a selection counter and the bulk action bar.
   
   Note

   To select multiple assets quickly in search results, select the checkbox for an asset, press and hold Shift, and then select the checkbox for another asset. Acquia DAM selects all assets in that range.

3. In the bulk action bar, select the Share icon.
   The bulk share dialog opens.
4. In the Select formats step, select the conversion format that you want to provide for each asset:
   • Original file format: Delivers the original, uncompressed source files.
   • Pre-configured formats: Delivers specific conversion formats configured in your Acquia DAM application.
5. Select Continue.
6. In the Add recipients step, enter the email addresses of the external recipients in the Email addresses field.
7. Select Share.
   Acquia DAM processes the order and sends a pickup notification email to each recipient.

Understanding the recipient experience

When you share assets, each recipient receives a pickup notification email that contains an order pickup link.

1. The recipient opens the pickup notification email and selects the order pickup link.
   The external order pickup page opens in the browser.

From the external order pickup page, the recipient can:

• Select the Download button for an individual asset to download that file.
• Select Download all to download all assets in a single ZIP file.

Monitoring share orders

You can track the delivery and download activity for your share orders in Acquia DAM.

Accessing your share orders

To access your share orders:

1. In the navigation menu, select Activity.
2. Select Orders / Shares.
3. In the table, identify your order by using the following details:
   • Type column: Indicates whether the transaction is a Download or a Share.
   • Order number, Date, and Assets columns: Identify the specific order.

Reviewing order details and share status

To review a specific share order:

1. On the Orders / Shares page, select the order number for the share that you want to review.
   The internal pickup page opens and displays the following information:
   • Share link: A link to the external order pickup page that you can copy and share directly with recipients.
   • Recipients table: A list of all recipient email addresses associated with the order.
   • Status: The current fulfillment state for each recipient:
     • Sent: Acquia DAM sent the pickup notification email to the recipient.
     • Downloaded: The recipient downloaded at least one asset from the order pickup page.
