Yes. There are a few permissions you will need depending on the actions you want to take in Workflow. The ability to perform actions in Workflow is based on both the permissions you’re given and the job duties (e.g., proof provider, reviewer) you’re assigned for each project. Details about job duties and actions you can take are included later in this article.
Here are the permissions that are available:
- Access Workflow dashboard. Gain insight into how Workflow is used at your organization using the Dashboard link in the left navigation. See the number of requests others have submitted, projects that were created, and the deliverables that were closed, by year. Get details about your current work and download those details.
- Administer Workflow application. See all projects created and all deliverables submitted even if you’re not assigned a job duty for projects or deliverables. Access all actions for all projects and deliverables - including editing project details, uploading new versions, downloading proofs, closing deliverables, etc. - regardless of if you’ve been assigned a job duty for projects or deliverables. This permission also includes the ability to create and manage projects, create and update request forms and approve requests, and submit project requests. You do not need those permissions enabled, in addition to this one, to be able to perform the actions.
- Create and manage projects. Start new projects using Quick review or the Create projects button, add deliverables and reviewers, and close or upload deliverables to the DAM when they're complete. Also, create and manage saved workflows that are listed on the Workflows page.
- Create and update request forms and approve requests. Create work request forms, manage requests on the Forms page, and approve requests for projects for which you’re designated as an approver (either individually or as part of a workgroup). Note that you may not be able to approve requests submitted via all forms; you must be assigned as an approver on a form to approve a request. This permission also includes the ability to submit project requests.
- Submit project requests. Send project requests to reviewers. To submit requests, users with this permission must be added to forms either individually or via a workgroup.
- Use Workflow to review or provide proofs. Gives basic access to Workflow. Actions you can take are dictated by your job duty for projects or deliverables.
As a DAM admin, you can enable, edit, and disable permissions for a role from the Admin app > Permission Settings > Roles. Select a role, then select Application Permissions. Select the pencil icon to customize roles for Workflow.
The Workflow app must also be enabled by your customer success manager.
Job duties and actions you can take¶
If you’re assigned a job duty for a project or deliverable, permissions you’ve been given in Workflow impact the actions you can take on the project or deliverable.
If you’re a project manager or project creator/request approver for a project, you can:
- Add deliverables to projects and edit deliverables
- Add and edit workgroups that can see the project
- Edit the project description
- Delete the project
In addition to the above bullets, project creators/request approvers can edit the project manager.
For deliverables:
- Reviewers and commenters can add comments in the stage(s) to which they are assigned.
- In addition to the above bullet, only reviewers can make a decision on the proof for the stage(s) to which they are assigned.
- Project managers to which deliverables are associated, along with deliverable managers and proof providers, can edit and manage deliverables.
If you don’t have a duty for a deliverable, but can see it because you’re included in a project, you can:
- See the deliverable dashboard
- See the proof, but not add any comments to it or review and make decisions about it
